Online Scheduling: Book by provider

With Online Scheduling, you can choose which appointment types give patients the ability to book with a specific provider.

How does it work?
  • You choose which appointment types should allow patients to book with a specific provider. If you don’t turn it on, they’ll select from times when any provider is available.
  • When patients book an appointment, they can select ‘Any Provider’ or pick a specific name. Then they’ll select from the times that are available.
  • As usual, you’ll review the incoming appointment and have the chance to adjust before approving.

Setting it up:
In Appointment Preferences, the “Edit Appointment Type” modal will include a toggle for “Patient Provider Preference”. The feature will be off by default, so you must turn it on to activate it! If you haven't already associated providers with this appointment type, you'll be prompted to do so before saving.

Patient Flow:
After your patients pick their visit type, they will see a list of providers. "Any Provider" is first, and then they are alphabetized by the first name.

If your practice uses provider-based availability, the patient is shown times when the provider they selected is available.

If your practice uses operatory-based availability, they’re shown times when the operatory is available (and the provider they selected will be assigned by default).

Patient Provider Preference and a tooltip will also show in the “Accept an Appointment” screen and “Edit Appointment” screen. You can add or change providers using the “+” and “x” buttons. The tooltip in these sections will include a recommendation to contact the patient if you need to change the provider to someone other than who the patient selected.

Tooltip: “The patient specifically selected this provider when booking their appointment online. If you need to edit the provider, consider confirming with the patient before making changes.”
