As you get familiar with the platform, it’s essential to understand how RevenueWell interacts with your practice management system, Denticon. This is your guide for navigating your brand-new Marketing Platform with a Denticon integration.
- Syncs with Denticon take place every 15 minutes to ensure up-to-date patient information is available to you directly in Marketing Platform.
Since patient care is your top priority, we’ve designed RevenueWell to grab essential information from Denticon to keep your patient visits efficient and informed. It's important to keep accurate data and records in Denticon so patient care information can be properly synced to Marketing Platform.
These items are visible in RevenueWell for all versions of Denticon:- Patient contact information
- Appointment history
- Treatment Plans
- Patient balances for the past 30, 60, and 90 days
- Custom codes, or non-ADA codes
Note: To track patient payments, you can also set up Rectangle Health Bridge to send payment records back to Denticon.
Your Denticon schedule will show in RevenueWell’s Scheduler and will include patient names, appointment details, contact information, and associated providers. Additionally, if you share your scheduling link, incoming appointment requests can be approved in RevenueWell, then manually entered into Denticon to keep both systems accurate.
⭐ Best Practice: Make sure to review your new appointment requests daily and verify the RevenueWell schedule matches the one in Denticon.
Marketing Platform comes with an automatic campaign for Appointment Confirmations and Reminders. Once activated, this campaign will automatically send reminder messages to patients based on your schedule in Denticon. Edit the number and frequency of reminders as well as the reminder messages in Campaigns.Patient Profiles in RevenueWell will be updated to match patient records in Denticon. When accepting new patients, it’s essential to understand how RevenueWell treats New Patients in Denticon. A New Patient is the term for a patient who has scheduled an appointment with your practice but doesn’t have a full patient record.
If a New Patient is created in Denticon:- RevenueWell will create a Patient Profile for the new patient in Marketing Platform.
- Any patient information added to Denticon (name, contact info, etc.) will sync to the RevenueWell Patient Profile.
- To receive Welcome Packets and new hire communication, a New Patient must have an email address on file at the time they are added to Denticon. Adding an email address to the patient record later will not trigger automatic campaigns because the patient is no longer considered ‘new’ in RevenueWell.
- If a New Patient is created in Denticon without an email, make sure to manually send the Welcome Packet to that patient to guarantee a positive new patient experience.
If a new patient schedules an appointment through RevenueWell without having a record in Denticon:
- RevenueWell treats them as a ‘temporary patient’ and will not send the patient any new patient communication, like Welcome Packets.
- Once a patient has a record in Denticon, RevenueWell will recognize them as regular patients and send them Welcome Packets and any other relevant messages.
- To prevent any communication delays, make sure every new patient gets set up as a patient in Denticon as soon as possible.
Patient information from Denticon allows for two-way email and text communication in Marketing Platform. When you enable Automatic Campaigns, RevenueWell will read patient data in Denticon and send out automated messages to patients based on triggers.
Activate these Automatic Campaigns powered by Denticon data:
- Birthday Cards: Send patients a birthday greeting on their special day
- Welcome Packets: Create a smooth experience for new patients by sending forms before the first visit
- Post-Op Instructions: Follow up important procedures with detailed care instructions
- Email Address Request: Reminds patients through text to share a valid email address with your practice
- Expiring Insurance Benefits Reminder: Alerts patients that benefits are expiring and should be used soon
- Patient Reactivation: Encourage patients who haven’t visited your practice in 9+ months to book an appointment
- Patient Recall: Reminds patients when they are due for their next hygiene appointment
- Review & Survey Request: Reaches out to patients to gather feedback on their experience
- Treatment Plan Follow-Up: Reminds patients to schedule any unaccepted treatment recommendations
The integration also supports Campaigns filters, allowing you to identify the perfect audience for your message based on data like Recall Status, Patient Balance, Insurance Carrier, and so much more.
- Reporting data is pulled from Denticon and tracked in RevenueWell to provide you with accurate and on-time reporting on patient engagement, scheduling trends, and campaign performances. Even more, you can see data on your practice production and identify areas of success or improvement. Find this data on the homepage, in Campaigns, or within Insights!
Forms integrates with Denticon so you can streamline patient intake and management with digital forms. Not only are online forms convenient for patients but with Denticon, certain information is relayed back to the system and updated for you:
- If you have the Denticon V2 API, Patient Info and Health History forms will write back data elements and PDFs into Denticon. Insurance and Custom forms will be sent back as PDFs.
- For Patient Info forms:
- For these forms update the data elements in Denticon, once a form has been successfully written back, Denticon requires users to navigate to the patient record in the PMS and click to Review and Accept the changes.
- For Health History Forms -
- In Denticon, each practice can define its own Medical Alerts, Dental Questionnaires, and Medical Questionnaires. Based on these custom configurations, we generate a Patient Health History Form, which is available under the Imported Forms section.
- For these forms to update the data elements in Denticon, once a form has been successfully written back, Denticon requires users to navigate to the patient record in the PMS and click to "Import Online Medical History."
- For Patient Info forms:
To make sure forms are always up to date in Denticon, turn on Auto Sync so your forms will automatically sync without a manual review of each one. Enable the Auto Sync feature in the settings of a form in RevenueWell.
- If you have the Denticon V2 API, Patient Info and Health History forms will write back data elements and PDFs into Denticon. Insurance and Custom forms will be sent back as PDFs.
- The Insurance Verification tool is directly compatible with Denticon. Patient insurance information is pulled from Denticon and run through our verification system so you can check insurance coverage directly from the Appointment List or the Patient Profile.
If you want verification PDFs sent back to Denticon after running a patient verification, just enable this feature in your Insurance Verification settings. During this process, you will be asked to designate a PMS User and PMS Location for the verifications.
