If you have Online Scheduling enabled, then the next step might be to enable the PMS write-back capability. Eaglesoft users can enjoy the functionality of having an online appointment request sync back to your PMS without having to duplicate the appointment back in Eaglesoft.
This feature allows:
- Online Scheduled appointments write-back to the PMS after they are approved in RW.
- Appointments that are manually created in RW to write-back to the PMS.
- Changes to appointments in either system update the other.
- New patients can be created in RW and they write-back to the PMS.
First, let's see where this feature setting lives below and how to set it up:
For appointments to writeback, Eaglesoft needs to know which appointment type from their list should be assigned. You can set defaults for online scheduled appointments from your appointment preferences by opening each type of visit and selecting a default Eaglesoft appointment type. When a patient schedules one of these appointments, you can always override the default as you review it on the calendar.
When a patient schedules an appointment, your practice will notice that each appointment must have a linked patient. No action is needed if the patient enters the same name & birthday the practice has on record. RW will link them automatically:
If the patient enters a nickname, the practice needs to confirm which patient record is correct. You will need to select "Change Patient Profile":
Once you find the correct profile, select it to match the patient:
Now you have a confirmed/matched patient profile!
New patients can quickly be added to the system:
Once you approve an appointment, you can change the Eaglesoft appointment type if needed. You should also make sure that your own name is selected as the Eaglesoft author (it tells the PMS who created this appointment).
- Appointments sync to the PMS in about 2 minutes.
- You will get alerts if an appointment fails to sync as the yellow arrows depict below:
By clicking on the Sync Error, you are brought to the Sync Status page, where you can review the issue with why the appointment request is not syncing.
The sync error also notes the sync error with a suggestion on the appointment request modal as well:
Adjust the appointment details and click Submit to attempt another sync.
