Navigating Your Open Dental Integration

We’re so excited you’ve chosen RevenueWell’s Marketing Platform to transform your practice operations and patient engagement! As you get familiar with the platform, it’s essential to understand how RevenueWell interacts with your practice management system, Open Dental. This is your guide for navigating your brand-new Marketing Platform with an Open Dental integration.

First things first, verify which version of Open Dental your practice currently uses. Some integration features will behave differently depending on the version you’re using.

If you're unsure which version of Open Dental you have, check in the system under Help > About.

  1. RevenueWell is compatible with Open Dental versions 18 and higher with enhanced functionality available for versions 22 and higher. Syncs with Open Dental take place every 15 minutes to ensure up-to-date patient information is available to you directly in Marketing Platform.
  2. Since patient care is your top priority, we’ve designed RevenueWell to grab essential information from Open Dental to keep your patient visits efficient and informed. It's important to keep accurate data and records in Open Dental so patient care information can be properly synced to Marketing Platform.

    These items are visible in RevenueWell through the integration:

    • Patient contact information
    • Appointment history
    • Treatment Plans
    • Patient balances for the past 30, 60, and 90 days
    • Pre-med requirements
    • Custom codes, or non-ADA codes
    Note: To track patient payments, you can also set up Rectangle Health Bridge to send payment records back to Open Dental.
  3. RevenueWell can read details of the Open Dental schedule, including time blocks. Your Open Dental schedule will show in Scheduler and will include patient names, appointment details, contact information, and associated providers. However, editing appointments in Scheduler doesn’t always relay back to the schedule in Open Dental. RevenueWell’s ability to send appointment information back to the system depends on which version you have:

    • If you have Open Dental v. 18-21, approve appointments in RevenueWell then manually enter them into Open Dental to keep accurate records in both systems.
    • If you have Open Dental v. 22+, approved appointments will automatically update in your Open Dental schedule with every sync.

    Make sure to review your new appointment requests daily and verify the RevenueWell schedule matches the one in Open Dental. This integration also supports Custom Appointment Types, which you can create and manage in the Open Dental platform. When you create a custom appointment type, create a matching type in RevenueWell so appointments sync properly between both schedules.

    Marketing Platform comes with an automatic campaign for Appointment Confirmations and Reminders. Once activated, this campaign will automatically send reminder messages to patients based on your schedule in Open Dental. Edit the number and frequency of reminders as well as the reminder messages in Campaigns.

  4. Patient Profiles in RevenueWell will be updated to match patient records in Open Dental. If a new patient schedules an appointment but they don’t yet have a patient record in Open Dental, RevenueWell treats them as a ‘temporary patient’ and will not send the patient any new patient communication, like Welcome Packets. Once a patient has a record in Open Dental, RevenueWell will recognize them as regular patients and send them Welcome Packets and any other relevant messages.

    To prevent any communication delays, make sure every new patient gets set up as a patient in Open Dental as soon as possible.
  5. Patient information from Open Dental allows for two-way email and text communication in Marketing Platform. When you enable Automatic Campaigns, RevenueWell will read patient data in Open Dental and send out automated messages to patients based on triggers.

    Activate these Automatic Campaigns powered by data from Open Dental:

    • Birthday Cards: Send patients a birthday greeting on their special day
    • Welcome Packets: Create a smooth experience for new patients by sending forms before the first visit
    • Post-Op Instructions: Follow up important procedures with detailed care instructions
    • Email Address Request: Reminds patients through text to share a valid email address with your practice
    • Expiring Insurance Benefits Reminder: Alerts patients that benefits are expiring and should be used soon
    • Patient Reactivation: Encourage patients who haven’t visited your practice in 9+ months to book an appointment
    • Patient Recall: Reminds patients when they are due for their next hygiene appointment
    • Review & Survey Request: Reaches out to patients to gather feedback on their experience
    • Treatment Plan Follow-Up: Reminds patients to schedule any unaccepted treatment recommendations
    The integration also supports Campaigns filters, allowing you to identify the perfect audience for your message based on data like Recall Status, Patient Balance, Insurance Carrier, and so much more.
  6. Reporting data is pulled from Open Dental and tracked in RevenueWell to provide you with accurate and on-time reporting on patient engagement, scheduling trends, and campaign performances. Even more, you can see data on your practice production and identify areas of success or improvement. Find this data on the homepage, in Campaigns, or within Insights!
  7. Forms integrates with Open Dental so you can streamline patient intake and management with digital forms. Not only are online forms convenient for patients, but with Open Dental, certain information is relayed back to the system and updated for you:

    • If you have Open Dental v. 18-21, all forms write back to Open Dental as PDFs.
    • If you have Open Dental v. 22+, Patient Info, Health History, and Insurance forms will write back data elements and PDFs into Open Dental. Custom forms will be sent back as PDFs.Forms integrates with Open Dental so you can streamline patient intake and management with digital forms. Not only are online forms convenient for patients but with Open Dental, certain information is relayed back to the system and updated for you:

    In Open Dental v. 22+, these are the specific data elements that seamlessly write back to your patient records:

    • Preferred name
    • Gender
    • Address
    • Date of birth
    • SSN
    • Contact information
    • Marital status
    • Flags
    • Text communication

    If a patient responds to an “Other” prompt on a Health History form, it will still write back to Open Dental:
    • Other medications save as “RW Medication” and details show in “Notes for Patients.”
    • Other allergies save as “RW Allergy” and details show under “Reaction.”
    • Other health problems save as “RW Problem” and details show under “Reaction.”
    To make sure forms are always up to date in Open Dental, turn on Auto Sync so your forms will automatically sync without a manual review of each one. Enable the Auto Sync feature in the settings of a form in RevenueWell.
  8. The Insurance Verification tool is directly compatible with Open Dental. Patient insurance information is pulled from Open Dental and run through our verification system so you can check insurance coverage directly from the Appointment List or the Patient Profile.

    If you want verification PDFs sent back to Open Dental after running a patient verification, just enable this feature in your Insurance Verification settings. During this process, you will be asked to designate a PMS User and PMS Location for the verifications.
